Founded in 2010 in Melbourne, Pepperstone is a forex and CFDs broker providing trading services with forex, stocks, commodities and other asset classes in multiple jurisdictions.
Pepperstone has a legacy back office administrative system, referred to as Admin, which is used across the business to perform day-to-day work.
The system has grown over time into a monolith that is largely maintained by a single engineering team, rather than the engineering teams for individual business functions.
The user experience for Admin is also not optimal, with users often needing to “dual screen” with other applications to complete Admin processes.
Midnyte City were engaged to document all business processes performed in Admin, and provide recommendations for a new back office administrative solution to replace Admin that will allow engineering teams to maintain the functionality related to their business domain, while uplifting the user experience.
To ensure Pepperstone’s new solution met all of the business needs currently satisfied by Admin, a comprehensive interview process was conducted, where Midnyte City met with Admin users across the business to understand how they used it and the key features they relied on to complete their work to a high standard. This also provided an opportunity to seek feedback on what improvements users would like to see in a new solution.
Through these interviews, guiding documentation for the development of the new solution was created for each business process that used Admin, including a high-level summary of the process, user personas and stories, workflow diagrams, user experience maps that included relevant screen captures of Admin, and security model requirements.
In addition to the business process documentation, Midnyte City also developed optimised workflows that demonstrated how the new solution could capitalise on process automation, better integration with related systems, and simplified decision-making.
The Midnyte City consultant used the outputs of their research to create an internal business case and then a subsequent Request for Information (RoI) for potential SaaS partners to provide a platform for Pepperstone to build a new administrative back office solution to replace Admin.
Midnyte City co-managed this procurement process which then proceeded to a proof of concept (PoC) stage and Pepperstone selected a SaaS platform for the new Admin solution.
The new solution allows engineering teams to wholly manage their business domain’s processes, aligning future back office administrative system development with Pepperstone’s preferred architecture patterns.
The user experience will also be greatly improved as the new solution allows for better integration between the different systems required to complete administrative processes, creating a “single pane of glass” experience for users.
The Admin review outputs were also used to identify gaps between a new onboarding platform at Pepperstone and the existing onboarding processes within Admin, and allow Pepperstone engineering teams to address them prior to launching the new onboarding platform.
